AI & Data Handling
Last updated: May 25, 2026. This page explains Traficare’s approach to handling business information, documents, workflows and data in AI-related consulting, audits, automation planning and implementation discussions.
Data minimization first
Traficare’s preferred approach is to use the minimum amount of information needed to understand the business problem, map the workflow and recommend a practical next step. Public website forms should be used for general inquiries only, not for confidential files or regulated datasets.
Do not send sensitive data through public forms
Use of AI and third-party tools
AI-related work may require analysis, drafting, summarization, workflow design, prompt design, automation planning or tool testing. The exact tools used depend on the engagement, sensitivity of the information and agreed implementation path. Third-party AI providers, cloud tools, automation platforms and APIs operate under their own terms, technical controls and data practices. Traficare is not responsible for provider-side outages, policy changes, model behavior, platform changes, security incidents or data handling failures outside Traficare’s control.
AI outputs require human review
AI outputs can be incomplete, inaccurate, outdated or unsuitable. Traficare treats AI as a support layer, not a replacement for human judgment. Clients are responsible for reviewing, approving and validating any AI-assisted content, recommendation, workflow, data extraction, automation output or business decision before use.
Project-specific data handling
For client work involving confidential documents, internal files, private workflows, customer data or regulated information, data handling should be agreed in writing before materials are shared. This may include NDA terms, tool restrictions, access controls, data retention rules, review responsibilities and approval steps.
Client responsibilities
- Remove unnecessary sensitive dataClients should remove or mask information that is not needed for the project.
- Share only authorized materialsClients must ensure they have the right to share any files, data, screenshots, documents or system access.
- Review outputs before useClients must review AI-assisted outputs, content, recommendations and automation behavior before publishing or deploying.
- Maintain access controlsClients remain responsible for their own user permissions, accounts, passwords, API keys, backups and internal security policies.
